With your dedication and precise planning, the client and their global leadership team depend on you to ensure seamless operations. You’ll be responsible for scheduling meetings, documenting minutes for board sessions, managing correspondence for the CEO, coordinating travel arrangements for senior leaders, and providing comprehensive administrative support.Your exceptional attention to detail, organizational abilities, and quick adaptability set you apart. Proficient in Microsoft Office, particularly Outlook and Teams, you possess excellent written and verbal communication skills. You excel in a multicultural, international environment and are passionate about making a meaningful impact.
Key Responsibilities:
- Calendar Management: Manage the CEO’s agenda, including scheduling and coordinating meetings, ensuring the availability of necessary documents, and organizing meeting spaces.
- Travel Coordination: Organize and support travel arrangements for the CEO and global department heads, including booking flights, managing visa applications, and coordinating schedules with local country offices.
- Meeting Support: Prepare agendas and take minutes for key meetings such as the Global Council, Supervisory Board, and other occasional meetings.
- Governance Support: Assist with governance-related matters, including liaising for document signatures, managing due diligence documentation for donors, and filing essential documents.
- General Administrative Assistance: Provide overall administrative support and step in to back-fill for colleagues when required.
Please note that this is a temporary position with a duration of six months.
Requirements
- A proactive and quick-to-learn attitude with a strong sense of initiative.
- Relevant work experience, preferably in an office support role within an international organization or company.
- Practical knowledge of secretarial and office management processes, acquired through vocational education or hands-on experience.
- C2 level of English proficiency with excellent written and verbal communication skills is mandatory for this role.
- Previous experience as an executive assistant or management assistant is mandatory in order to be considered for this role.
- Proficiency in Microsoft Office tools, particularly Word, Excel, Outlook, and Teams.
- Strong organizational and multi-tasking abilities, with a high level of attention to detail.
- Flexibility, excellent interpersonal skills, and the ability to collaborate effectively across diverse cultures and nationalities.
- A high degree of confidentiality and discretion in handling sensitive information.
Working conditions
- Immediate Start: Ideal start date is January 2025
- Travel Reimbursement: Offered for commuting to the office
- Hybrid Work Environment: 2-3 days per week in the office, with the flexibility to work remotely on the remaining days.
Salary from: €3000,-
Salary to: €3600,-
