QA Administrative Specialist

Job description
As a QA Administrative Specialist, you will play a key role in supporting our Quality Assurance team by managing supplier and raw material onboarding, ensuring documentation accuracy, and coordinating compliance activities. This is a hands-on position where you’ll combine administrative precision with cross-functional collaboration to keep operations running smoothly.
Key Responsibilities- Manage and maintain supplier/raw material documentation in QA systems (e.g., SF360), including regulatory questionnaires, product specifications, and compliance statements.
- Transfer documentation between systems to ensure accuracy and accessibility.
- Support contract manufacturer (CMO) qualification using standardized templates (e.g., HACCP, GMO, heavy metals) and FAQ questionnaires.
- Set up inspection plans for finished goods release.
- Coordinate the shipment of samples to external laboratories for analysis.
- Prepare Certificates of Analysis (COA) and Certificates of Conformance (COC).

Requirements- Proven administrative experience within a QA environment, ideally in food or pet food sectors.
- Strong organizational and documentation skills.
- Familiarity with digital QA systems such as SF360, SAP, or LIMS.
- Ability to work independently, follow up proactively, and manage multiple tasks at once.
- Excellent written and verbal communication skills.
- Fluent in English.
- Based in (or within commuting distance of) Delft, the Netherlands.
