Job description
As a member of the HR Operations team, you will play a key role in administering, evaluating, and troubleshooting leave of absence programs within a Shared Service Model. You will deliver compassionate and exceptional service to employees navigating their leave processes, ensuring their needs are met with empathy and professionalism. In addition, you will foster transparent communication with managers, HR partners, and other stakeholders, while ensuring compliance and the highest standards of support throughout the employee leave journey.
Responsibilities:
- Manage the administration of leave of absence programs, including maternity leave, parental leave, and long-term sick leave.
- Consult with employees and managers to explain leave provisions, determine eligibility, interpret policies, and address general inquiries.
- Troubleshoot and resolve both routine and complex leave issues with efficiency and empathy.
- Maintain accurate case management documentation in a service center environment.
- Provide comprehensive support to employees before, during, and after their leave, ensuring a smooth transition and effective reintegration.
- Guide employees through sensitive situations with empathy and professionalism, ensuring exceptional service.
- Deliver outstanding customer service, maintaining proactive communication with employees throughout the leave process.
- Collaborate with team members to improve and develop best practices for leave management and service delivery.
- Communicate leave plans and changes promptly and clearly to all relevant parties.
- Maintain accurate and up-to-date leave records and documentation to ensure data integrity and compliance.
- Regularly update the Workday knowledge portal, ensuring that leave communication resources are accurate and accessible.
- Compile and submit accurate reports, tracking key metrics and leave program effectiveness.
- Ensure all leave of absence programs comply with local regulations.
- Exhibit a team-oriented attitude, providing support to colleagues when necessary.
- Oversee pay-impact leaves, managing claim submissions, participating in claim review meetings, and producing necessary reports.
- Process leave-related paperwork for employees promptly and accurately.
- Collaborate with payroll to ensure accurate and timely leave payments.
- Work closely with local business-facing HR partners, Centers of Excellence (COE), and HR compliance teams to maintain consistent communication.
- Support the design and implementation of new leave programs, contributing ideas to enhance the employee experience.
Requirements
Education & Training Requirements:
- Degree in Human Resources or a related field preferred.
- Minimum of 3 years professional experience, including HR leaves experience.
- Proficiency in relevant software and tools related to workforce management and HRIS preferred.
- Fluency in English and German (written & spoken) and proficiency in a second European language (French or Polish) is preferred.
Qualifications & Experience:
- Previous experience in business-facing HR, HR COE, HR Operations, or a similar role preferred.
- Strong attention to detail, with the ability to work independently and handle pressure.
- Experience creating and presenting reports, assessing, and manipulating data in various formats.
- Proven ability to work cross-functionally with different stakeholders, responding quickly to business needs.
- Ability to prioritize multiple tasks in a fast-paced, demanding environment.
- Strong communication skills, both written and verbal, with the ability to clearly convey information to diverse audiences.
Working conditions

- Travel up to 20%.
