Job description

The Executive Assistant provides essential administrative and operational support to the International Leadership Team. This role involves managing office functions, coordinating internal and external meetings, and supporting various events and marketing activities.
Key Responsibilities:
Office Management: Handle reception duties, including answering phones, greeting guests, and managing mail. Maintain office supplies, oversee deliveries, and coordinate with facility services as needed. Prepare and distribute the weekly movement sheet.
Administrative Support: Assist with scheduling and organizing meetings, complex travel arrangements, and document preparation. Manage the yearly calendar for the International Leadership Team and provide support for special projects and employee travel needs.
Event and Marketing Support: Organize and support logistics for regional and international congresses, trade shows, and marketing events. Manage customer invitations, sponsor agreements, and post-event follow-ups. Ensure compliance with legal and internal standards.

Requirements

We are seeking an experienced candidate who embodies a mature and proactive attitude, combining strong team spirit with the ability to work independently. On top of that, here are the qualifications we're looking for:
  • MBO+ level education or equivalent experience, preferably in a secretarial or personal assistant role.
  • Experience in event coordination and working within an international (Bio) pharmaceutical environment is a plus.
  • Proficiency in MS Office and strong organizational skills.
  • Excellent communication skills in English (at least C1 level); additional languages are advantageous.
  • Ability to work flexibly, handle stress, and maintain confidentiality.

Working conditions

We are offering a competitive salary in line with market standards. You will start working at our client through an Undutchables contract and this could change into a direct contract. It is an office based position and the working hours are from 9h00 - 17h30

Salary to: €3800,-

They have a great office in Amersfoort, and are looking for an Executive Assistant with Event Coordinating experience to help support their team, both in the Netherlands and in the US.
