Job description
The Marketing & Events Associate will provide essential administrative and operational support to the International Leadership Team. This role involves managing office functions, coordinating internal and external meetings, and supporting various events and marketing activities.
Key Responsibilities:Event and Marketing Support:- Plan and execute international events such as congresses, trade shows, product launches, trainings, and webinars.
- Ensure all activities comply with MedTech regulations, internal policies, and codes of conduct.
- Collaborate with the Creative & Marketing Communications Associate Director to coordinate event strategy and execution.
- Manage event logistics, including:
- Vendor communication and coordination (e.g. booth designers, printers, caterers).
- Budget preparation, quote approvals, and cost tracking.
- Inventory planning and shipment of marketing materials, giveaways, and booth assets.
- Provide on-site event support, including setup and coordination.
- Oversee customer invitations, speaker/sponsor agreements, and congress registrations.
- Conduct post-event follow-up and evaluations.
- Provide administrative support to the Head of Marketing.
- Liaise with Legal and Regulatory teams to ensure compliance.
- Support additional marketing and event tasks as needed.
Front Office:- Support the International Leadership Team with:
- Meeting coordination, calendar management, travel bookings, and expense processing.
- Visa applications and presentation formatting as required.
- Assist with logistics and on-site support for internal meetings, in collaboration with the Front Office Team.
- Maintain the international events and meetings calendar.
- Coordinate complex travel and accommodation for international staff.
- Perform general administrative and front office duties.
Requirements
We are seeking an experienced candidate who embodies a mature and proactive attitude, combining strong team spirit with the ability to work independently. On top of that, here are the qualifications we're looking for:
- MBO+ level education or equivalent experience, preferably in an events management role.
- Experience working within an international (bio-) pharmaceutical environment is a plus.
- Proficiency in MS Office and strong organizational skills.
- Excellent communication skills in English (at least C1 level); additional languages are advantageous.
- Ability to work flexibly, handle stress, and maintain confidentiality.
- Living within commutable distance from Amersfoort (within 30 minutes) and willing and able to travel to the Amersfoort office daily;
Working conditions
We are offering a competitive salary in line with market standards. You will start working at our client through an Undutchables contract, with intention to extend with a direct contract. It is an office based position and the working hours are from 9h00 - 17h30. Next to this, here are some specifics:
- 25 holiday days per year;
- Fully reimbursed public transport costs;
Salary from: €3500,-
Salary to: €4000,-
