Job description

As Senior Personal Assistant you will provide direct support to one of the company's Founding Partners, working in close collaboration with his Executive Assistant. Your core mission is to plan and coordinate complex international travel while ensuring flawless day-to-day logistics for an exceptionally busy agenda.
Travel Coordination (core focus)
  • Prepare detailed, multi-stop itineraries and alternative routes for review.
  • Book all travel - flights, trains, hotels, cars, visas, transfers - and manage related documents.
  • Anticipate last-minute disruptions and adjust plans swiftly.
  • Arrange travel logistics for accompanying project teams or guests.
Daily Support
  • Maintain both business and private calendars, scheduling international and domestic meetings.
  • Handle correspondence and confidential records with discretion.
  • Liaise with internal teams (project leads, communications, finance, facilities) for seamless coordination.
  • Organise meetings, catering, and other on-site logistics.
  • Reconcile expenses in cooperation with Finance.
  • Provide ad-hoc administrative assistance to the Partner as required.

Requirements

  • Experience: Minimum 5 years in a similar role, ideally supporting a high-profile executive in a fast-paced, international environment.
  • Travel Expertise: Demonstrated ability to plan and coordinate complex, multi-stop international travel.
  • Availability: Willing and able to adjust travel plans outside regular business hours when needed.
  • Adaptability: Capable of handling shifting priorities calmly, independently, and with pinpoint accuracy.
  • Service-minded, discreet, dependable, accurate, diligent, diplomatic, and professional in demeanor; comfortable operating in a high-profile, high-responsibility setting.
  • Languages: Fluent in Dutch and English (spoken and written); additional languages are an asset.
  • IT Skills: Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Must have the legal right to live and work in the Netherlands.
