Job description

What will you do?
  • Answering all direct calls and forwarding them on to colleagues in- and outside the office, answering questions whenever possible
  • Greeting visitors – offering refreshments, answering questions, and contacting the colleague who they are visiting
  • Handling all incoming and outgoing post, allocating office invoices
  • Handling regular incoming and outgoing mail and packages;
  • Monitoring kitchen supplies (coffee, tea and condiment supplies as necessary)
  • Be the go-to person for all office-related topics;
  • Managing office supplies and inventory;
  • Initiate and organize activities that help create a positive environment and sense of community at the office;
  • Keeping an eye on the general upkeep of the office;
  • Support with organizing company events as well as on- and offsite meetings;
  • Collaborate with the HR team to implement and maintain office policies;
  • Book hotel rooms for colleagues when visiting our office;
  • Arrange once a month a company breakfast
  • Prepare arrival new employees – coordinating furniture and fixed telecom supplies and needs for their first day;
  • Monitoring cleaning company – contact with cleaning company, handling questions and requests for cleaning of office, annual evaluation of cleaning company;
  • Office checks – frequent/multiple daily checks of office for general order and cleanliness
  • Other suppliers – maintaining contact with suppliers. Manage them appropriately and make sure they perform well at reasonable costs
  • Arrange all on-site and off-site meetings as needed by executive team, including travel,  declaration, agenda management, accommodation, meals, meeting space, audio/video equipment etc.
  • Schedule quarterly meetings/calls and other meetings/conference calls as requested
  • Calendar management – work with management to keep calendar up to date and proactively plan or adjust meetings as needed.

Requirements

  • Bachelor degree
  • Minimum 3 years of related experience
  • Excellent English (C1-C2 level) and Dutch is a big plus (not a must)
  • Proficient in Microsoft Office Suites
  • Strong communication skills
  • Ability to organize, plan and prioritize with little direction
  • Attention to detail, flexible, pro active, multi tasker
  • (Proven) Strong multi-tasking and time management skills
  • Strong collaborator and team player with a high level of discretion & confidentiality
  • Self-driven, hand son and autonomous

Remarks:
  • You must live in Amsterdam area
  • Candidates who live abroad will not be considered and you must have a valid working permit for the Netherlands.
  • Our client does not do sponsorship

Working conditions

  • This is a temporary position. The contract ranging from 3-6 months, with possibility of extension depending on both the individual's fit with the company and the business needs at that time. This can be discussed further.
  • The salary is between EUR 2600 – EUR 3000 per month gross, based on full time
  • The working hours are from Monday until Friday (from 8:30 - 17:00)
  • 100% onsite - hybrid is NOT possible
  • The temporary contract is via Undutchables

Our client is a global SaaS company which has offices in Europe, Asia and in the USA. For the Dutch office, they are currently looking for an office manager. The team is very international (approx. 50 employees).
